Bo-tanics is owned by Bo-tanics Aroma-Herbary, which is the data controller of your personal data.

We have adopted this privacy policy, which determines how we process the information we collect, and explains why we need to collect certain personal data about you. Please read it before using the Bo-tanics website, the client portal, or the Chakra Garden app.

This policy covers:

• the Bo-tanics website at bo-tanics.com, including the Chakra Garden page at bo-tanics.com/chakra-garden-app

• the client portal at my.bo-tanics.com

• the Chakra Garden app, both in a browser at garden.bo-tanics.com and as an installed app for iOS and Android

We take care of your personal data and undertake to guarantee its confidentiality and security.

Personal information we collect through the website

When you visit bo-tanics.com, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies installed on your device. As you browse the site, we collect information about the individual pages or products you view, what websites or search terms referred you to the site, and how you interact with it. We refer to this automatically collected information as device information.

We may also collect personal data you provide to us directly, including but not limited to your name, surname, address and payment information, when you register or place an order, so that we can fulfil our agreement with you.

The Chakra Garden page at bo-tanics.com/chakra-garden-app is part of this website, so the above applies when you visit it. The app itself, described below, behaves differently.

Client Portal

If you are a Bo-tanics client, you may be given access to a private client portal at my.bo-tanics.com. This portal is used to deliver your personalised consultation materials, herbal protocols, product recommendations, PDF resources, and course content.

To provide the portal, we collect and store the following:

• your name and email address

• a securely encrypted password

• consultation notes, herbal protocols, and product recommendations shared during or after your sessions

• course enrolment and lesson progress

• the date you accepted this privacy policy

This data is stored securely in a password-protected database hosted by Neon (PostgreSQL). Only you and I have access to your records. Your data is never shared with third parties, sold, or used for marketing purposes.

Your client portal data is kept for the duration of our working relationship. If you wish to stop working together, or would like your data deleted, contact me at info@bo-tanics.com and I will remove your records within 30 days.

Chakra Garden app

Chakra Garden can be used in two ways: in a web browser at garden.bo-tanics.com, or as an app installed from the Apple App Store or Google Play. It behaves the same way in both, and this section applies to both unless it says otherwise.

The app does not ask you to create an account, does not ask for your name or email address, and does not collect personal data about you. There is no analytics, no tracking, no advertising, and no third party trackers of any kind. The app sets no cookies.

What the app stores on your device

The app saves a small amount of information locally on your own device so that it works the way you left it:

• the herbs, oils, essences and crystals you have gathered

• any notes you write on a plant or stone profile

• a record of which tending month each gather or note was first made in

• whether you chose the northern or southern hemisphere when you first opened the app, so your tending stays in step with your own seasons

• your day and night display preference, if you choose one, so the app opens the way you left it

• a marker noting that you have opened the app before

This is held in your device's local storage. It is never transmitted to us, and we have no way to read it. It is not backed up to our servers and it is not shared with anyone.

If you use the installed app, deleting the app removes this information. If you use the app in a browser, clearing your browsing data or site data for garden.bo-tanics.com removes it. Because we never receive any of it, we are unfortunately not able to restore it for you.

Each of the two versions keeps its own separate store, so a gather made in the browser will not appear in the installed app, and the reverse is also true.

Our server

The app is served from our own site at garden.bo-tanics.com, and some imagery is loaded from there rather than being bundled in. As with any request over the internet, our hosting provider (Hostinger) records standard server log information when this happens, which may include your IP address, the time of the request, the page or file requested, and general browser and device information.

These logs are created automatically as part of running a website. They are used only to operate and secure the service and to understand general traffic levels. They are not used to build a profile of you, are not combined with any other information about you, and are not sold or shared for marketing.

Note that this applies to the browser version each time you use it, and to the installed app when it loads imagery

Fonts

All typefaces used in the app are bundled inside it. The app makes no requests to Google Fonts or to any other external font service, so no information about you is passed to a font provider.

Subscriptions and payment

Subscriptions to the installed app are purchased and managed entirely through the Apple App Store or Google Play, depending on your device. Your payment is handled by Apple or Google under their own privacy policies, and we never see or receive your card details, billing address, or account credentials. We receive only anonymised, aggregated sales and subscription reporting from the app stores, which does not identify individual customers.

To manage or cancel a subscription, use the subscription settings in your Apple or Google account.

Links out of the app

The app contains links to bo-tanics.com and to Apple's standard licence terms. Following a link takes you out of the app, and the privacy practices of those sites apply from that point.

Children

Chakra Garden is intended for adults. It is not directed at children, and we do not knowingly collect personal data from children.

A note on what the app is for

Chakra Garden is offered for educational and spiritual interest. It is not medical advice, and it is not a substitute for consultation with a qualified healthcare practitioner. Please seek professional advice before using any herb or essential oil, particularly if you are pregnant, breastfeeding, taking medication, or managing a health condition.

Why do we process your data?

Our top priority is customer data security, and as such we process only minimal user data, only as much as is absolutely necessary to maintain the website. Information collected automatically is used only to identify potential cases of abuse and to establish statistical information regarding website usage. This statistical information is not aggregated in such a way that it would identify any particular user of the system.

You can visit the website without telling us who you are or revealing any information by which someone could identify you. If, however, you wish to use some of the website's features, receive our newsletter, or provide other details by filling in a form, you may provide personal data to us, such as your email, first name, last name, city of residence, organisation, or telephone number. You can choose not to provide us with your personal data, but then you may not be able to take advantage of some of the website's features. Your rights

Please note that because Chakra Garden stores its information on your own device and never sends it to us, we hold no app data to access, correct, export or erase. You can clear it yourself at any time by deleting the installed app, or by clearing your site data for garden.bo-tanics.com in your browser. Server logs, described above, are held only briefly by our hosting provider for security and operational purposes.

If you are a European resident, we note that we process your information in order to fulfil contracts we may have with you, or otherwise to pursue the legitimate business interests listed above.

Links to other websites

Our website may contain links to other websites that are not owned or controlled by us. Please be aware that we are not responsible for the privacy practices of such other websites or third parties. We encourage you to be aware when you leave our website, and to read the privacy statement of each website that may collect personal information.

Information security

We secure the information you provide on computer servers in a controlled, secure environment, protected from unauthorised access, use, or disclosure. We maintain reasonable administrative, technical, and physical safeguards to protect against unauthorised access, use, modification, and disclosure of personal data in our control and custody. However, no data transmission over the internet or a wireless network can be guaranteed to be completely secure.

Legal disclosure

We will disclose any information we collect, use or receive if required or permitted by law, such as to comply with a subpoena or similar legal process, and when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
